Welcome to Distribution and Document Management (DDM), a diverse group where each unit provides
a unique service to the campus. While you may know many of us, you may not know we all work in
the same organization.
DISTRIBUTION SERVICES
Mail, Shipping, Receiving
Distribution Services
provides mail delivery and pick-up for the campus. You can find information on pickup/delivery
schedules; incoming/outgoing US mail; inter/intra-campus mail;
nonprofit and other permit mail
(bulk); eShip; Fisher returns form; and trucking shipping form.

ZOTMAIL
ZotMail, a Web-based
electronic communication system, enables the transmission of approved business email messages to
employees on the UCI campus and at the UCI Medical Center. We coordinate the training of users who
send messages and maintain lists of authorized senders. You can update your subscription lists,
browse archived messages, and authorized users can send messages.
UCI POLICIES
The Administrative Policies Office
manages UCI's Official University Policies & Procedures
Web site, the centralized location for campus and systemwide policies and delegations of authority.
This office acts as a consulting and reference resource for the campus community and offers guidance
on the effective writing and communicating of policy information.
PASSPORTS
The U.S. Passport Application Acceptance Offices
are authorized by the Department of State to accept passport applications from U.S. citizens.
Forms, photos, and U.S. Department of State resources are available to the campus community
and public.
SCANNING
e-docs Imaging Services
provides a variety of customized products associated with converting paper records to image files.
Authorized users are able to access their scanned documents using a simple Web interface.
Rapid Return Service for
scanned, graded student exams.
OTHER SERVICES
Records storage
is available on North Campus with pickup and delivery provided by DDM staff. Boxes can be
retrieved by submitting an online request.
Shredding services
include the pickup of boxes on campus. Secure storage containers can also be rented with
scheduled or "as-needed" pickups by career DDM staff for same-day shredding.
Long term storage
allows departments to store materials at Distribution and Document Management's North Campus
facility and schedule periodic deliveries to campus locations via an online inventory and
request system.
Tax free alcohol can be purchased only from Distribution Services
with a minimum order of four (4) pints. To order tax free alcohol, visit our

A signature authorization remains in effect until canceled. When a
person's authorized status ends, the departmental authorizing officer
is responsible for canceling the status using the same form.
